Standardize the 20 percent that repeats

Turn recurring delivery work into reusable templates while preserving client-specific judgement.

What you will learn

Make a clear, safer operating decision.

You will be able to standardize discovery, build, test, launch, and review work without turning every client into the same generic implementation.

Why this matters

Good agent work is useful before it is impressive.

Agencies become fragile when every project starts from a blank page. They become careless when every project uses the same unchecked template. The goal is a reusable method that still asks for client-specific evidence and approval.

Field note 37

Make the relationship visible.

Core concepts

The language that keeps the work clear.

Reusable assetA checklist, worksheet, test set pattern, report structure, or workflow component that saves effort without replacing judgement.
Client-specific variableA policy, data source, user, risk, brand rule, or measure that cannot safely be assumed from another project.
Definition of doneA clear, observable completion standard for a delivery stage.
Template driftWhen a reusable asset becomes stale or stops matching the real product and client work.
The practical method

Work through the decision in order.

Find repeated work

Review several projects for common discovery questions, setup steps, test cases, reports, and support issues.

Separate fixed from variable

Keep method, formatting, and quality gates reusable; force client policies, owners, sources, and boundaries to be entered explicitly.

Add completion checks

For each stage, define the evidence required before work moves forward.

Maintain the library

Assign an owner and review date for templates so a useful system does not become a collection of outdated files.

Worked example

A realistic, bounded implementation.

A delivery team notices every pilot needs a workflow brief, access matrix, evaluation table, rollout checklist, and client review template. These become shared assets.

The template never pre-fills a client’s policy, emergency contact, regional message rule, or source of truth. Those are required fields that must be reviewed for each engagement.

As the team learns that missing source ownership causes launch delays, it adds an explicit source-owner check to the standard discovery brief. The asset improves from evidence, not from copying one client into another.

Build it in practice

Use this copyable working template.

Adapt it to the client’s evidence, policy, people, and tools. Do not treat placeholders as approved instructions.

Reusable step: [step]. Template component: [asset]. Client-specific fields: [list]. Definition of done: [evidence]. Template owner: [role]. Review date: [date].
Spacebrain implementation

Put the operating system around the agent.

Use reusable workspace setup checklists, form and automation patterns, task templates, reporting views, and client-specific records to standardize delivery responsibly.

Practice

Before you move on

  • Choose one repeated delivery task.
  • Split its reusable instructions from client-specific decisions.
  • Add a definition of done that a reviewer can check.
  • Templates save work without erasing client context.
  • Client-specific policy and data remain explicit.
  • Each stage has an acceptance check.
  • Template ownership and review are scheduled.

Build the operating layer around your agent.
